🐠 Service Policies & Client Agreement
S.O. Aquariums

These policies outline how we operate, what’s included, and how we protect both your investment and our services. By signing this agreement, you acknowledge and accept the following terms.
1. Service Scope Policy
- Every service visit includes: tank inspection, livestock health check, water testing and balancing, filter/equipment upkeep, algae removal, substrate cleaning, glass polishing, and a service summary.
- Services do not include: livestock guarantees, tank relocation, construction work, cabinetry modifications, or major equipment replacements unless separately agreed upon.
- Additional requests outside your selected plan are billed separately.
2. Flat-Rate & Billing Policy
- All services are billed flat-rate per month, not by the hour.
- Whether a visit takes 1 hour or 5 hours, the rate remains the same.
- Emergency service calls are billed separately at $125 flat.
- Materials, salt, additives, livestock, and specialty equipment are always billed separately.
3. Materials & Supplies Policy
- Clients cover the cost of all materials.
- Synthetic salt mix, filter floss, additives, and livestock are supplied by S.O. Aquariums and billed at competitive rates.
- Client-supplied salt or water is not permitted unless agreed to in writing.
4. Water Mixing System Policy (Marine & Reef Clients)
- Every saltwater or reef account requires a mixing vat system.
- Cost: $400–$650 one-time investment by the client.
- Vat must be installed near a water spigot and electrical outlet.
- Installation labor is included at no charge when you begin service.
- The system becomes the client’s property after installation.
5. Synthetic Saltwater Advantage
- Cleaner & safer than ocean water (no pollutants, parasites, or seasonal swings).
- Fresher & more stable than pre-mixed water stored in containers.
- Full control over salinity, alkalinity, and trace elements.
- Healthier livestock with consistent, precision-balanced water.
6. Money-Saving Benefits
- Other service providers charge $1.50–$2.00 per gallon when hauling their own water. For a 200-gallon system, that’s $300–$400 every refill.
- With S.O. Aquariums:
- - Synthetic Salt → 200-gallon box = $60.
- - Filter Floss → Large roll for 6–12 months = $80 (vs. $5–$10 per visit charged by competitors).
- Most clients save $1,000+ per year in materials with our model.
7. Emergency Service Policy
- Emergency visits are billed at $125 flat, regardless of duration.
- Availability is subject to scheduling, but we strive to respond within 24 hours.
- Emergency visits are intended for stabilization, not full maintenance.
8. Cancellation & Rescheduling Policy
- Clients must provide at least 24 hours notice to cancel or reschedule a service.
- Missed or late-cancelled visits may still be billed.
- S.O. Aquariums reserves the right to reschedule in case of weather, equipment failure, or emergencies.
9. Payment & Late Fee Policy
- Payments are due on the 1st of each month unless otherwise agreed.
- Accepted methods: Zelle, bank transfer, card, or other approved methods.
- Late payments are subject to a $25 late fee after 10 days.
- Services may be paused if payment is overdue by more than 30 days.
10. Livestock & Aquarium Health Disclaimer
- S.O. Aquariums maintains systems and provides expert care, but does not guarantee livestock survival.
- Fish, corals, and plants are living organisms that may be affected by disease, stress, prior conditions, or equipment failure outside our control.
- We will always advise clients on best practices, but ultimate responsibility lies with the aquarium owner.
11. Property Access Policy
- Client must ensure access to the aquarium at the scheduled service time.
- If access is denied, missed visits may still be billed.
- S.O. Aquariums is not responsible for damages caused by lack of access.
12. Liability & Safety Policy
- S.O. Aquariums is not liable for structural damage caused by the tank itself (flooring, cabinetry, leaks).
- Liability does not extend to damages caused by client negligence or third-party equipment failures.
- Any liability claims are handled under So Captures LLC, the legal entity powering S.O. Aquariums.
13. Termination Policy
- Either party may end service with 30 days written notice.
- Outstanding balances must be paid before termination.
- Installed equipment (such as mixing vats) remains client property once paid for.
14. Satisfaction Policy
- We guarantee the quality of our service.
- If you are dissatisfied, S.O. Aquariums will return within 3 business days to correct the issue at no extra charge.
- This guarantee does not apply to livestock outcomes.
15. Additional Policies
- Privacy Policy – Protects client information collected online or in records.
- Media Policy – S.O. Aquariums may take before/after photos for portfolio use unless client requests otherwise.
- Weather/Disaster Policy – Service may be suspended or rescheduled during hurricanes or natural disasters.
